Is Doximity fax HIPAA compliant?

Doximity's free fax can carry patient information under the BAA in its Terms, for eight professions, one line each. Therapists and attorneys are not listed. Fax Pigeon signs a BAA on every plan.

Doximity's free fax can carry patient information for a verified member under the BAA built into Doximity's Terms: one line per member, eight listed professions, and a number unused for 6 weeks can be reclaimed. Therapists, counselors, social workers and attorneys are not on the list. The BAA lets Doximity process PHI with AI tools and de-identify it and commercialize the de-identified data. Fax Pigeon sells HIPAA fax, so read this as a seller's comparison.

Who can get a Doximity fax line?

If a colleague mentioned it, check the license first. Doximity's help center says "Fax lines are only available to the following specialists" and lists MDs, DOs, NPs, PAs, pharmacists, medical students, podiatrists and dentists. The DocFax page names fewer: U.S. licensed physicians, nurse practitioners, physician assistants and pharmacists. Therapists, counselors, social workers and attorneys appear on neither list.

Joining Doximity is wider than the fax line. The help center says any clinically licensed U.S. healthcare professional who treats patients can join for free. Its verification article says "Unverified accounts cannot access Doximity features." Each eligible member can claim one free line with a unique number in the member's own Doximity mailbox. The DocFax page calls it a "Free HIPAA-compliant internet fax service" with "Unlimited pages."

What does Doximity's BAA say?

There is no separate signing step. Doximity's Terms of Service (effective July 20, 2026) say that a covered entity sending PHI through a tool Doximity identifies as appropriately secure, "such as Doximity Ask, Scribe, member messaging, or electronic fax," is covered by the BAA "incorporated into these Terms by reference." Section 5.1 starts the BAA when you agree to the Terms "by electronically registering as a Doximity member." The agreement is public at doximity.com/baa, so it can be read before you register. The help center says it more briefly: "Doximity includes a BAA with each member."

The BAA covers the tools "identified by Doximity as appropriately secure for use with Protected Health Information." Two sections decide what Doximity may do with the faxes it handles.

  • Section 3.1 lets Doximity use "large language model, generative artificial intelligence" and similar technologies, "including third-party hosted systems and models," to process PHI to provide, support, secure, maintain, improve and administer the covered services.
  • Section 3.2 lets Doximity de-identify PHI and provide data aggregation. De-identified data "is not subject to this BA Agreement" and may be "commercialized by Business Associate for any lawful purpose, including product development."

HHS's de-identification guidance says a covered entity may use a business associate to de-identify PHI "only to the extent such activity is authorized by their business associate agreement." Section 3.2 is that authorization, and a member accepts it at registration. Doximity may also amend the BAA, and continued use counts as acceptance (section 6.5). At termination, section 5.3 says "return or destruction of PHI is not feasible," so Doximity may keep a copy under the BAA's continuing limits.

Who is the other party to Doximity's BAA?

The member. The BAA is made with "the applicable healthcare provider that has agreed to the Terms of Service," and it applies "only if and solely to the extent" that Doximity handles PHI relating to that provider's patients through the covered services. Section 6.4 adds that where a member uses a tool for "an enterprise with whom Doximity has an active Business Associate Agreement," the enterprise agreement applies, and the same help article says "Enterprise BAAs are available to health system clients." A colleague's Doximity line sits under the colleague's own BAA.

What should a practice outside the list use?

A therapist, counselor, social worker or attorney needs a fax service that signs a BAA with the practice. A front desk that shares one number needs a shared account. Every Fax Pigeon plan includes a signed BAA, executed at signup, your own dedicated fax number, unlimited people at no extra cost and a shared inbox with roles and assignment. Basic is $5.99 a month, or $4.99 billed annually, for 200 pages. Standard is $11.99 ($9.99) for 500. The pricing page lists all six plans.

Fax Pigeon takes an existing number in free on every paid plan, where Doximity takes none, and the current provider keeps it working while most transfers finish in 5 to 15 business days. Therapists have the longer version in HIPAA compliant fax for therapists, and the price comparison is the lowest prices for 200 and 500 pages with a BAA.

Who should switch from Doximity's fax line?

  • A member whose office shares one number. The line sits in one member's mailbox, and the Terms bar letting others use the login.
  • A practice with a number on its letterhead. Doximity does not take ported numbers in and may reclaim one that goes unused.
  • A clinician outside the list who was pointed to Doximity's free fax.

* Prices last verified October 7, 2026, at each provider's own site. Fax Pigeon is not affiliated with Doximity.

Frequently asked questions

Is Doximity fax HIPAA compliant?
It can be for an eligible member. Doximity's Terms incorporate a Business Associate Agreement for tools such as electronic fax, and the text is public at doximity.com/baa. The line is free and limited to verified MDs, DOs, NPs, PAs, pharmacists, medical students, podiatrists and dentists, and Doximity may reclaim a number unused for 6 weeks.
Who can use Doximity's free fax?
Verified members who are MDs, DOs, NPs, PAs, pharmacists, medical students, podiatrists or dentists, according to Doximity's help center. Therapists, counselors, social workers and attorneys are not on the list. Each eligible member claims one free line with a unique number in their own Doximity mailbox. Doximity's DocFax page names only physicians, NPs, PAs and pharmacists.
What does Doximity's BAA allow Doximity to do?
Section 3.1 lets Doximity use AI technologies, including large language models and third-party hosted systems, to process PHI for the covered services. Section 3.2 lets it de-identify PHI and use or commercialize the de-identified data for any lawful purpose, including product development. A member accepts both by registering, under section 5.1.
Can a therapist use Doximity's free fax?
Not by Doximity's own list. Its help center limits fax lines to MDs, DOs, NPs, PAs, pharmacists, medical students, podiatrists and dentists, and therapists, counselors and social workers are not among them. Fax Pigeon includes a signed BAA on every plan, executed at signup, from $4.99 a month billed annually for 200 pages.
Can a practice share one Doximity fax number?
Doximity's Terms say 'your account belongs to you' as between a member and others, including an employer, and bar letting others use your login. Each line sits in one member's mailbox, so a shared practice number needs another service. Fax Pigeon gives a practice one number, a shared inbox with roles and assignment, and unlimited people at no extra cost.
Can I move my existing fax number to Doximity?
No. Doximity's help center says 'you cannot port your current fax line into our Fax service.' A Doximity number can be ported out by emailing support@doximity.com and confirming by reply fax. Fax Pigeon ports a number in free on every paid plan, and most transfers finish in 5 to 15 business days.
