How much does HIPAA Vault fax cost per month?

HIPAA Vault's four fax plans run $9.95 to $99.95 a month, month to month, and its checkouts list a 3% processing fee. Fax Pigeon's Basic plan is $5.99 a month for 200 pages, with a signed BAA.

HIPAA Vault charges $9.95 a month for 100 pages on Solo Practitioner, $29.95 for 500 pages on Small Practice, $49.95 for 1,000 on Clinic and $99.95 for 2,500 pages plus overage on Flex Plan, all month to month. Fax Pigeon's Basic plan is $5.99 a month for 200 pages, or $4.99 billed annually.

Three terms sit outside the price cards: a 3% processing fee at checkout, which pages count and what the terms of service cover.

Which Fax Pigeon plan matches each HIPAA Vault card?

Every HIPAA Vault card is labeled a month-to-month plan, and the page shows no annual price, so the matching Fax Pigeon price is the month-to-month one. The Solo Practitioner card crosses out $14.95 beside its $9.95, and a bar on the same page puts the saving at 33%. HIPAA Vault marks the Clinic card Recommended.

Solo Practitioner, 100 pages$9.95$0.30Basic, 200 pages$5.99$4.99
Small Practice, 500 pages$29.95$0.90Standard, 500 pages$11.99$9.99
Clinic, 1,000 pages$49.95$1.50Plus, 1,000 pages$17.99$16.99
Flex Plan, 2,500 pages plus overage$99.95$3.00Pro, 2,000 pages plus 500 at 3.5¢$51.49$47.49

Basic includes twice the Solo card's pages. Pro's 2,000 pages fall 500 short of the Flex card, so that row adds 500 pages at Pro's 3.5¢ rate. All four Fax Pigeon plans in the table include a signed BAA, and HIPAA Vault's checkouts say the same of its four.

Divided by its pages, the Solo card is 9.95¢ a page, Small Practice about 6¢, Clinic about 5¢ and Flex about 4¢. Basic is about 3¢, Standard about 2.4¢ and Plus about 1.8¢.

Does HIPAA Vault add a fee at checkout?

The checkout behind each of the four cards lists a 3% processing fee, and no card mentions it. The fee line is $0.30 on Solo Practitioner, $0.90 on Small Practice, $1.50 on Clinic and $3.00 on Flex Plan. Flex has no trial, so its checkout asks $102.95 up front: the $99.95 plan plus the $3.00 fee. The other three list the fee and still show $0.00 due at checkout during the 3-day trial. The checkouts do not say whether the fee repeats.

Do HIPAA Vault's page counts include received faxes?

The cards and the footnote under them print page counts and nothing about direction, so they do not state whether sent pages, received pages or both count toward the total. Fax Pigeon counts sent and received pages together in one monthly allowance, so 120 received pages and 80 sent pages use the full 200 on Basic.

How many people can use one plan?

HIPAA Vault's cards and the footnote under them say nothing about users. All four checkouts show the plan as one licence and carry a quantity control. Every Fax Pigeon plan includes unlimited people at no extra cost, with a shared inbox that has roles and assignment.

What does a practice above 2,500 pages pay?

The Flex card reads Unlimited with an asterisk where the other cards print a page count, and its footnote turns that into 2,500 pages included plus a flexible per-page overage. The pricing page, the fax explainer and the Flex checkout print no overage rate. The pricing page's FAQ answers a practice that needs 4,500 to 5,000 pages with an offer of a custom proposal. Fax Pigeon's Premium plan includes 5,000 pages for $59.99 month to month or $49.99 a month billed annually, and extra pages cost 3¢.

Is the BAA included, and what do the terms cover?

The four checkouts read "Signed BAA included with every plan," and HIPAA Vault's fax FAQ says every customer gets a BAA. The fax pricing page, the fax explainer and the checkouts link to no BAA text. The terms of service linked from the fax page cover a dedicated hosting environment and name neither fax nor a BAA. Section 7 says a customer whose managed server holds sensitive data such as ePHI may need an additional agreement with HIPAA Vault.

HIPAA Vault's explainer says a cloud fax provider is a business associate that needs a signed BAA, and its fax FAQ says it stores every fax a customer sends or receives. Under 45 CFR 160.103 a person who, on behalf of a covered entity, creates, receives, maintains or transmits protected health information for a function or activity the HIPAA rules regulate is a business associate. Fax Pigeon includes a signed BAA on every plan, executed at signup. How other services handle theirs is in online fax services that sign a BAA.

Who should switch?

A practice paying $9.95 a month for the Solo card should move to Basic, which is $5.99 a month for twice the pages. Twelve months of the Solo card come to $119.40. A year of Basic billed annually is $59.88. A practice on the Small Practice card saves $17.96 a month on Standard, and one on the Clinic card saves $31.96 on Plus, both before HIPAA Vault's 3% fee. For the Flex card's 2,500 pages, Pro with 500 extra pages is $51.49 a month against $99.95.

Pages past an allowance bill at the plan's own rate on a separate invoice: 10¢ on Basic, 5¢ on Standard, 4¢ on Plus and 3.5¢ on Pro. HIPAA Vault's trial takes a card and excludes ported numbers. Fax Pigeon's free first fax, up to 10 pages, needs no card, and porting a number in is free on every paid plan. The order for leaving HIPAA Vault with the number intact is in port your fax number before you cancel, and the other BAA plans at 200 pages are in the BAA price comparison.
