Is RingRx HIPAA compliant?

RingRx signs a BAA during onboarding on all three plans, and faxing starts at Grow, $19 per user a month, month to month only. Fax Pigeon's Basic plan is $5.99 a month for unlimited people.

RingRx can carry patient information once its business associate agreement (BAA) is signed, which it does during onboarding on all three plans. Its faxing starts at the Grow plan, $19 per user a month, and every plan is month to month. Section 24 of RingRx's terms of service requires a fully executed BAA for compliance. Fax Pigeon sells HIPAA fax, which makes this a seller's comparison. A signed BAA comes with every Fax Pigeon plan, executed at signup.

Does RingRx sign a BAA?

Yes, on all three plans. RingRx's pricing page checks the BAA row for Lite, Grow and Clinic, and its footnote says a standard BAA is available on every plan and a custom BAA on some. The FAQ says each customer gets a signed BAA, provided during onboarding. The support article says it is signed when service starts and can be requested from the customer portal at any time after the free trial begins. The trial runs 14 days and needs no credit card.

RingRx's HIPAA whitepaper gives the timing: one business day to complete and sign its standard agreement after a request, and five business days to review a practice's own. None of these pages posts the agreement's text. The table in online fax services that sign a BAA sets RingRx beside the rest.

Which RingRx plan includes faxing?

Faxing starts at Grow, the middle plan. Lite, $15 per user a month, is a phone plan with no fax service. Grow, $19, adds web faxing, a fax number for each user, texting and voicemail transcription. Clinic, $25, adds machine faxing for a practice that keeps its fax machine, and RingRx's fax machine article says the practice buys an ATA device to connect it. All three prices exclude taxes and fees. RingRx's April 4, 2026 pricing article says each includes the BAA.

Is RingRx faxing unlimited?

RingRx says so. Its fax page promises "unlimited faxes to and from any North American number." The page names no plan. The April 4 article does: Grow and Clinic, the two plans with faxing, do not charge for pages faxed in either direction. Grow carries the wording at the lowest price, $19 per user a month.

Every RingRx plan is month to month only. Section 5 of the terms puts each subscriber on a renewing monthly term, and the pricing page lists no annual price. Section 9 says monthly prices can rise at any time, and section 1 says an increase takes effect in the calendar month after RingRx posts it.

The wording covers faxes sent and received. Storage has a ceiling: RingRx's retention article gives each mailbox 100MB by default, deletes the oldest messages once it fills, and keeps a deleted message in the trash for 30 days.

What does a practice with several users pay?

RingRx charges per user on Lite, Grow and Clinic, as its support center lists. Fax Pigeon prices the practice, with unlimited people on one number. RingRx does not charge for pages, so the table sets Grow against two Fax Pigeon plans, one for 200 pages a month and one for 500.

Plan, month to monthBAA1 user3 users5 users10 users
RingRx Grow, pages not chargedSigned at onboarding$19$57$95$190
Fax Pigeon Basic, 200 pagesSigned at signup$5.99$5.99$5.99$5.99
Fax Pigeon Standard, 500 pagesSigned at signup$11.99$11.99$11.99$11.99

Billed annually, Basic is $4.99 and Standard is $9.99, and RingRx lists no annual price. Every Fax Pigeon plan includes unlimited people, your own dedicated fax number and a shared inbox with roles and assignment, and the pricing page lists all six. Pages past a plan's budget cost 10¢ on Basic and 5¢ on Standard, billed on a separate invoice.

RingRx's terms expect a login for each person. Section 10.7 asks that everyone who uses the service hold unique credentials of their own and warns that signs of a shared login may bring extra charges. HIPAA fax with unlimited users compares per-user and capped plans for a five-person practice.

What does RingRx's BAA leave out?

The pricing table checks a HIPAA Compliant row on every plan. The terms put the substance in the BAA: section 24 places every compliance warranty and responsibility between RingRx and a practice in that agreement, limits RingRx's compliance guarantee to the terms plus the signed BAA, and says nothing on its website or blog overrides the terms. The same section draws a line. A fax that a practice's users copy, download or send to an unauthorized person falls outside the terms and any BAA, and once a fax leaves RingRx's systems its security is no longer RingRx's responsibility.

Email delivery sits outside the agreement too. RingRx's fax settings article says the option that emails a received fax as an attachment is outside its BAA and security guarantee, and should not be used for faxes that carry protected health information.

What does the rule say about a service that keeps faxes?

HHS's 2013 final rule counts an entity that maintains protected health information for a covered entity as a business associate, even if it never views the information (78 Fed. Reg. 5566, 5572). RingRx's fax page says its system saves a practice's fax history in the online portal, and its whitepaper says faxed files sit on cloud-based servers. Faxes kept in RingRx's portal are the kind of maintaining the preamble describes. A covered entity may let such a vendor handle electronic protected health information only if it obtains satisfactory assurances, documented in a written contract or other written agreement (45 CFR 164.308(b) and 164.502(e)). Do you need a BAA with your online fax service has the longer reading.

Who should switch from RingRx?

  • A practice that uses RingRx for fax and has three or more people on Grow. Three users cost $57 a month at RingRx. Fax Pigeon's Basic plan is $5.99 a month, or $4.99 billed annually, for 200 pages and unlimited people.
  • A practice that wants a refund path. RingRx's terms make every charge non-refundable (section 9.1), with no money-back guarantee or prorated refund for unused time (section 10.1). Fax Pigeon gives a full refund within 72 hours of the first payment (once per customer), and a cancellation in Settings at any time keeps service running to the end of the paid period.

Start the port at Fax Pigeon while the RingRx account is open. Section 28 of the terms says RingRx permanently deletes a number when the account ends, so any transfer has to happen first. Porting in is free on every paid plan, most transfers finish in 5 to 15 business days, and the number keeps working at RingRx until then. How to port a fax number before you cancel has the order.
