Does WebPT have fax?

Yes. WebPT's Message Manager documentation says "Every WebPT Membership includes Outbound Faxing," and all three plans list it. Incoming faxes and direct secure messages run through Message Manager over Kno2's network, and the documentation calls both unlimited. Neither that page nor the pricing page prints a fax price. A Fax Pigeon line costs $4.99 a month billed annually for 200 pages.

What does a WebPT membership include for faxing?

Outbound faxing, sent from the patient chart. The pricing page lists digital outbound faxing under Starter, Enhanced and Ultimate, and inbound and outbound direct secure messaging under Ultimate alone. It lists no incoming fax, and none of its plan lists names Message Manager.

The Outbound Communication Log shows each sent fax as In Progress, Sent or Failed, and WebPT's page on the log says it cannot be exported to PDF or Excel. WebPT's fax documentation calls the EMR's faxing an integrated third-party tool and says that limits how much WebPT can troubleshoot for a clinic.

A signed plan of care clears WebPT's Plan of Care Alerts only if the plan first went out by fax from the EMR. The Medicare timing for plans of care is in HIPAA compliant fax for physical therapy clinics and HIPAA compliant fax for occupational therapists.

Does WebPT receive faxes?

Inside the EMR, only through Message Manager, the WebPT tool that turns incoming faxes and direct secure messages into tasks. WebPT's fax documentation says a clinic without it cannot view incoming faxes there.

Message Manager connects the clinic's WebPT account to Kno2, WebPT's partner for digital fax and direct secure messaging. Setup begins at Kno2: an identity check, then written consent so WebPT can administer the clinic's Kno2 account. WebPT's onboarding team then links the two accounts. The documentation splits support between the companies: Kno2 handles identity checks and its Kno2fy portal, and WebPT handles fax, invoice and account questions.

Message Manager does not create the patient, since the documentation's FAQ says staff enter a new patient by hand before a message can be linked to a chart. A clinic with several locations can keep a fax line at each one or send every fax to one central line. Direct secure messaging reaches only recipients with a Direct address, and fax stays the route to everyone else.

What does WebPT charge for fax?

Neither the pricing page nor the Message Manager documentation prints a fax price or says which plans include Message Manager. The pricing page shows no price for any plan, and its FAQ says billing runs per provider each month or per visit. The Message Manager product page does put a dollar figure on labor: $20 on average to file a single fax.

Fax Pigeon prints its prices. Basic is $4.99 a month billed annually for 200 pages sent and received, or $5.99 month to month, and the pricing page lists all six plans. Extra pages are billed at the plan's rate on a separate invoice, and faxes keep arriving past the page budget.

Does WebPT sign a BAA for fax?

WebPT's Service Agreement carries a Business Associate Agreement as an exhibit that the parties agree to execute, and the privacy policy says WebPT's processing of protected health information is subject to it. The exhibit's subcontractor clause has WebPT bind any subcontractor that handles protected health information to the same or similar restrictions in a written agreement. Fax, Message Manager and Kno2 appear nowhere in the Service Agreement, BAA exhibit included. The Message Manager documentation, product page and pricing page mention no BAA, and the product page calls Message Manager HIPAA-compliant.

What does a standalone line add for a PT or OT clinic?

Fax Pigeon works beside WebPT with no integration. A clinic files the faxes it wants in a patient's chart through WebPT's eDoc feature, which takes PDF, JPG, TIFF, DOC and XLS files up to 8 MB.

Who should switch their fax line to Fax Pigeon?

A PT or OT clinic should switch its fax line to Fax Pigeon when it wants incoming faxes without the Kno2 connection, a price in print, a BAA signed at signup and a delivery certificate for each fax.
